Managing Flagged Items

A flagged item is raised when an employee's form answer signals a problem you need to follow up on — for example, an audit answer that shows a key step was missed. When a form is built to flag certain responses, each flagged answer lands on the Flagged Items page so you can see every open issue in one place and track it through to resolution.

Find the Flagged Items Page

  1. In the left menu, open Forms and click Flagged Items. The page opens showing every flagged answer, newest first.
  2. Use the filters across the top to narrow the list: Form type, Status (defaults to Open and In Progress), Job, and Employee status. You can also use the Search question or employee box, or set a Start Date and End Date to focus on a time range.

Each row shows the Form, who submitted it, the date submitted, who it's Assigned to and the Assigned date, the Flagged question, the Flagged response, and the current Status (such as Open).

View a Flagged Item's Details

Click anywhere on a flagged item's row to expand it in place. The details show the Form (as a link you can open), the Question that was flagged, the employee's Response, and an Action history of everything that's been done to the item so far. If no one has touched it yet, you'll see No actions yet.

Update a Flagged Item

To act on a single item, click the ••• icon in the Actions column at the end of its row. A menu appears with four choices:

  1. Open Submission — jumps to the full form submission this flag came from.
  2. Mark in progress — sets the status to In Progress to show someone is working on it. A pop-up appears with an optional Note field ("Add an optional note about this status change"). Add a note if you want, then click Submit.
  3. Mark resolved — closes out the item once the issue is handled. The same optional Note pop-up appears — add any detail about how it was resolved and click Submit.
  4. Assign — opens the Assign this flagged item dialog. Search for and select the employee who should be responsible for resolving it, then click Save. Their name then appears in the Assigned to column.

Note: Every status change, assignment, and note becomes part of that form's submission, so the actions you take here are recorded on the submission itself and appear in the item's Action history.

Manage Multiple Flagged Items at Once

When you have several items to handle the same way, use the checkboxes on the left side of the list.

  1. Check the box next to each flagged item you want to update (or use the checkbox in the header row to select the whole list).
  2. A toolbar appears at the top right showing how many are selected (for example, 1 flagged item selected), along with Mark in progress, Mark resolved, and Assign buttons.
  3. Click the action you want. Marking in progress or resolved shows the same optional Note pop-up, and Assign opens the same employee picker — the change is then applied to every item you selected.
